Client files are maintained through secure industry-standard mortgage platforms, which may include Velocity/Filogix, brokerage systems, secure email, CRM tools, and encrypted digital storage systems.

Information is stored in digital systems with access restricted to authorized personnel.

As required by BCFSA and brokerage compliance requirements, mortgage files, including funded, cancelled, or dormant files, may be securely retained for a minimum of seven (7) years or longer if required by law, regulation, lender, insurer, or brokerage policy.

  1. AI Usage Policy

We do not input identifiable client information, including names, SINs, income documents, banking details, or financial statements, into third-party AI tools for general AI processing.

AI tools may be used for general business support, drafting, website content, marketing planning, workflow planning, and non-identifiable business tasks. Identifiable mortgage client information is not intentionally entered into public AI tools.
